Summary

The Program Associate is responsible for assisting the programming department in effectively implementing programs at Davis Aerospace and Maritime High School. The program associate is responsible for performing a variety of administrative duties for ensuring the delivery of a high level of program quality and to establish positive relationships with all students, their families, and school staff. The program associate is responsible for supporting student educational, health and social emotional skill development activities, supporting recruitment and enrollment in activities, and ongoing student and family relationships. This position is located at Davis Aerospace and Maritime High School. The program associate reports to the program manager.

Duties and Responsibilities

• Support implementation of after school programs, and student participation daily.
• Provide administrative support for the program department.
• Responsible for the tracking of student enrollment, forms, and materials that are required for program participation, grant reporting, or general requirements.
• Distribute, collect, and enter student data, associated with program evaluation, into prescribed tracking sheets.
• Responsible for recruiting and training volunteers, coordinating volunteer tasks, and assuring all volunteers have met organizational requirements for engaging with students.
• Support the program staff in marketing programs and recruiting student participants.
• Responsible for communication with speakers, community partners, school staff, and students as it relates to logistics associated with programming.
• Develop and maintain an annual program calendar.
• Ensure proper retention and storage of all program-related records and documents.
• Develop and maintain an inventory tracking system for all program supplies.
• Work collaboratively with the director of programming and department staff to ensure all programs meet established requirements.
• Performs other duties as required.

Skills and Experience

• Associate degree, Bachelor’s Degree or equivalent years of experience preferred.
• 1-3 years of experience as an administrative or program assistant.
• Strong self-initiative and self-management, plus ability to work both in a team setting and solo.
• Ability to coordinate, organize/maintain records, and be proactive with all position duties.
• Excellent organizational skills, ability to prioritize tasks, and high attention to detail.
• Occasional weekend, holiday, and evening hours may be required.
• Strong computer skills including productivity applications including Microsoft Office and Google Apps.
• CPR and First Aid, AED, water safety certification, or willingness to obtain upon hiring.
• Experience working with 9-12 grade students, teachers, and administrators. (preferred)
• Experience working with educators and students in school-based and/or out-of-school environments. (preferred)
• Sense of humor, flexibility, and creative “think outside the box” solution-based mindset.

Working Conditions

• Must be able to remain in a stationary position for extended periods.
• Must be able to meet consistent attendance.
• Must be able to occasionally work evenings and/or weekends.
• Must be able to frequently move about the school facility to interact with students, and staff, access files and materials, use office equipment, etc.
• Must be able to communicate information and ideas so others will understand. Must be able to exchange accurate information in these situations.
• Must be able to constantly operate a computer and other office productivity equipment, such as a phone, copy machine and printer.
• Must be able to occasionally move items weighing 25 pounds.
